RANCANG BANGUN SISTEM MANAJEMEN SURAT BERBASIS WEBSITE DI POLITEKNIK ‘AISYIYAH PONTIANAK MENGGUNAKAN METODE RAPID APPLICATION DEVELOPMENT

The process of managing incoming and outgoing letters at Politeknik 'Aisyiyah Pontianak, which was previously carried out manually using physical documents, caused problems such as slow document retrieval, risk of archive loss, and disorganized document storage, making administrative activities less effective and efficient. This study aims to build a centralized system to record incoming letters, outgoing letters, dispatch letters to authorized employees, and digitally archive letter documents so that letter administration management can be carried out more quickly and in a structured manner. The method used is Rapid Application Development (RAD) with stages of requirements planning, system design, system development, and system testing involving users directly so that the resulting system meets the actual needs in the field. The system was developed using the Laravel framework based on the PHP programming language with MySQL as the database storage. This system is designed for three users, namely Admin who has full access to all system features, Internal who can create outgoing letters and view reports, and Director who acts as the recipient of letter dispositions from Admin. The system includes features for managing incoming letters, outgoing letters, letter disposition, document archiving, room data management, and administrative report generation. Testing was carried out using the Blackbox Testing method on the aspects of output and system navigation. The test results show that all system features run as expected without any errors found in each tested scenario. Therefore this system is suitable for use to support letter administration management at Politeknik 'Aisyiyah Pontianak in a more structured, accurate, and well-documented manner.
